IT’S COMING!

Tax time happens like clockwork every year and if you find your stress levels rising around tax season, this post is for you.  This is not my usual conversation and I am sharing this with you because I found a stress busting process that works and I’m confident that it will for you too.

Have you ever had any of these thoughts?

  • Damn it! I can’t find the receipt I’m looking for, where in the hell did I put it?

  • It’s tax time again and I’m not ready!

  • Paperwork is so overwhelming! Where do I begin?

  • I hate paperwork, it’s such an energy drain and I don’t have time for it!

I have too and I found my efforts to be organized and prepared for tax season frustrating, energy sucking and hopelessly unchangeable. Every year I would promise myself that I would be more organized and ready for tax time and every year end I would have the same experience. What was that experience? I was stressed, angry, overwhelmed and late to file… again.  My accounting fees were as high as my stress level and I needed a solution, not only financially but mentally and physically as well.  I dreaded tax time and I knew there must be a better way to manage my time, money and peace of mind.

I am a typical Entrepreneur, I work, I buy stuff and I file my receipts in a number of piles throughout my home with the intention of being better organized by the end of the year. I have tried many products, programs and “promised results” advise over the years and none of them have been successful in changing my way of being with the dreaded paperwork associated with being in business. No matter how organized I thought I was, I still couldn’t find the receipt I searched for!  At the end of the year I scrambled to put my paperwork together so I could hand it off to my Accountant to file my income tax and I would still find stray receipts that were missed! It felt like nothing worked. I needed to find a way to simplify the process. I needed something so simple that even I would use it.

Five years ago I started using a simple receipt organizing system and I’m excited by the results.  I find myself making financially sound decisions faster in my business because I’m staying up to date with my expenditures throughout the year rather than at the end. For the past four tax season I didn’t go into stress mode because I was already organized and ready. I reduced my accounting fees because my Accountant’s time was spent working with totals rather than organizing my receipts.  The bonus for me was this system didn’t require a lot effort and it is proving to be very effective.  The amount of stress and frustration this system has relieved is priceless!

As a result of using this ROF system (Receipts On File) I am finding receipts when I need them because they are exactly where they should be, I was able to submit the files to my Accountant earlier than last year and I reduced my accounting fees because everything was sorted and organized, ready for processing .  The best end result?  I was able to do this with very little effort and enjoy the rewards of a job well done.  For the first time in my life as an Entrepreneur, I wasn’t stressed.  My paperwork was complete, ready and on time and I had time to enjoy the moment.

What is this ROF System?  

It consists of a travel file folder, a banker’s box with twelve file folders labeled by the month and my once-a-month organizing service.  That’s it.  Simple, easy to use and completely stress free for you.

How does this ROF System work? 

All you have to do is put your receipts into the travel folder that I provide, and I do the rest.  Once a month I will pick up the travel folder, organize your receipts into categories (customized to your business needs), in chronological order and file them into monthly file holders.  These files are returned to you monthly so you have access to your receipts as needed. Included in this service is  a summary sheet of your expenditures for the month so you have a running total of where your money has been spent for the month.  By the end of the year your receipts will be organized by month/category/chronological date so by tax time, your files are ready for your Accountant to file your income tax quickly and efficiently.  Sounds great doesn’t it?

I took on working at the far end of the coast 3 days a week for the summer in the tourist industry and I was supercharged about it. I had the pleasure of working at Ruby Lake Resort on the Sunshine Coast of BC.  The job for most people would look like housekeeping but for me, it’s much more than that. I had the opportunity to make a difference in the lives of the guests staying at Ruby Lake and have a real impact on their lives because I love what I do. My game for the summer was to give each guest the experience they expect AND have them leave with more than they could have ever imagined! How I delivered this was by being playfully curious and engaging with each and every one of them. They have no idea that their stay at Ruby Lake last summer would be one they will cherish forever.

I finished work for the day and was walking through the trails to my car when Kathleen and Chuck were coming back from their day of exploring the coast. They were there looking for a place to buy to call home. Within a couple minutes of our conversation, I got a picture of what they were looking for and I knew the place that would fit them perfectly so I invited them to see it. At first, they said thank you for the thought but we don’t want to disturb you on your time off but something in my way of being made them stop and take me up on my offer to show them the property I had in mind for them. The next day we met and I walked them over the property and I smiled as I could see their mental checks at every feature. They fell in love with the property and now they are experiencing the vision of living here themselves. Yesterday morning I received a note from this couple letting me know how grateful they were for meeting me at Ruby Lake and what a difference I just made in their lives. I LOVE WHAT I DO FOR A LIVING!

Standing in the Space of Upset


One of the most challenging places to stand as a coach is in the space of upset.  In that moment, when there is a need to take an unpopular position to cause a breakthrough for a client, I run the risk of losing the client because of the stand.  Why, as a coach, would I put myself in that position?  Because I believe that significant growth comes out of our most difficult moments and my job is to cause movement in areas of my client’s lives where historically there has never been movement before.

iStock_000001237210XSmallWhen I’m standing in the space of upset it’s never without pre-thought around “will it make a difference?” and “am I prepared for the consequences of taking a strong stand?”  The answers to those questions are very clear for me before I take that stand.
“Will it make a difference?”  As I mentioned before I do believe we gain significant growth out of adverse situations and there are times when my clients don’t like me for what I have to say.   I have been told that being a coach is not a popularity contest and through my experiences I can say this is true.  I know being the coach they liked would make me feel great and it doesn’t serve my clients needs.  In order to be an effective coach it has to be about the client and I want to make a difference in lives of my clients.  As an effective coach clients get what they came for and comfortably share my services with others.
“Am I prepared for the consequences of taking a strong stand?”  The answer is always YES because I am determined to cause movement in the lives of my clients so they will have results they could only imagine as possible before they started working with me as their coach.  Otherwise why would they hire me?  There are plenty of self-help books, videos, webinars and seminars available with all the same information I share and lots of opportunity to do what needs to be done without my help so why would client’s hire me?  Because I understand what it’s like to stand in their shoes, I know what’s coming and I’m prepared to go to the end of the earth for my clients even if it means making them dislike me in the process.  I am a stand for my clients to finally have movement in areas of their lives where historically no movement has come before.
Thank goodness there is more to being a coach than taking difficult stands and thank goodness clients can count on me for having the skills to take those difficult stands.  I have spent many years watching a variety of coaches and pulled from each one, something of value to add to my skill set.  I believe they have all contributed to making me a better coach for others and for this I am grateful.
